How to choose an AI tool without wasting a weekend

There are more AI tools than anyone can try, and most of them demo beautifully. The hard part isn't finding options — it's deciding which one actually fits your work. Here's the process we use when we evaluate tools for the catalog, boiled down to something you can run in an afternoon.

Start from the job, not the tool

Write one sentence describing the outcome you want — “turn a long webinar into three short clips,” not “an AI video tool.” The sentence tells you which category to browse and, more importantly, what a good result looks like. If you can't describe the outcome, no tool will fill that gap for you.

Judge the output, on your own input

Marketing samples are cherry-picked. Feed the tool something real and slightly messy — your actual document, your product photo, your codebase — and see how it copes with the awkward parts. A tool that handles your worst-case input is worth more than one that dazzles on a curated demo.

Check the unglamorous details

• Pricing that matches your usage.Per-seat, per-run, and credit models feel very different once you're using something daily.
• Where your data goes.If you're handling client or personal data, read how inputs are stored and whether they train on them. Some tools run on-prem or offline for exactly this reason.
• Export and lock-in. Can you get your work out in a standard format if you leave?
• Support and staying power.A tiny team can ship a great tool — just make sure there's a way to reach them.

Avoid the common traps

Don't pick the tool with the longest feature list; pick the one that does your one job well. Don't confuse a thin wrapper around a popular model with the model itself — plenty of sites simply resell access to something you could use directly. And don't pay annually for a workflow you haven't used for two weeks straight.
